AI Invoice Processing

Supplier invoices read, coded and recorded

AI invoice processing for UK businesses

What AI invoice processing is

AI invoice processing means software reads a supplier invoice the way a person would, works out what it is for, and records it in your books. It takes the supplier, the invoice number, the date, the net, the VAT and the total off the page, decides which account and which VAT treatment the invoice belongs to under rules you have set, and writes it into your accounting software.

Scanning tools have read invoices for years. What has changed is the part in the middle. An older tool pulls text off a page and hands every field back to a person to check, so a supplier who changes their layout, bundles delivery into one line or prints the VAT in an unusual place sends the invoice back to a human. An AI agent can deal with that kind of variation, and when it still cannot tell, it says so and passes that one invoice to a person instead of guessing.

We build that agent for you rather than selling you a product to configure yourself. You tell us how invoices reach you today and how they are coded; we build the agent, you watch it work on your real invoices, and we keep it running from then on. It is one of the agents we build, and it is built the same way as the rest of our work as an AI automation agency. The same reading-and-writing job on a different kind of document is our AI product documentation agent, which keeps a product's documentation matching what shipped.

What our invoice agent has done

Up to 29 October 2026, an AI bookkeeping agent we built recorded 14 supplier invoices for under 5p each, against about £2.54 for a bookkeeper doing the same work by hand, with the VAT worked out from rules written down for it in advance.

That is a small number of invoices, and we would rather show you a small true number than a big round one. The case study below shows what it was given, the safeguards it works within and what it produced, invoice by invoice.

What the agent does with each invoice

The shape of the work is the same in every business we build this for, even though the rules inside it are yours.

  1. It picks the invoice up. From the inbox or the folder your invoices already arrive in, so nobody has to forward anything anywhere new.
  2. It reads the invoice. Supplier, invoice number, date, net, VAT, total and the lines in between, whatever layout the supplier uses.
  3. It checks the invoice against what it already knows. Whether this invoice number has been recorded before, whether the supplier is one of yours, whether the total matches what was ordered where you give it something to match against.
  4. It codes the invoice. To the account and the VAT treatment your own rules give it, not to a general chart of accounts somebody else wrote.
  5. It records the invoice. In your accounting software where that software lets another program write to it, and as a file ready to import where it does not.
  6. It flags what it is unsure about. The invoices it cannot place go to a person, with the reason it stopped, rather than into your books as a guess.

The rules you set, and what it hands back to a person

An agent is only as good as the rules it is given, which is why we write them down with you before it touches anything real. They are the rules you would give a new member of staff doing the same job: which supplier goes to which account, how each kind of VAT is treated, what counts as a normal amount from that supplier, and which costs you want to see yourself whatever the amount.

Then we agree what it must never do on its own. A new supplier it has not seen before, an invoice that does not match the order, a VAT treatment the rules do not cover, an amount above the limit you set: each of those is handed to a person with the invoice attached and the reason it stopped. You can change any of it later, and changing it is part of the monthly fee rather than another project.

How we build it, and how long it takes

A wooden beehive with bees

We build the agent around your real invoices, and you see it working on them before it does the job on its own. You pick one person on your team to work with us day to day, usually whoever does the bookkeeping now, because they are the one who knows what the right answer looks like. Here is how it runs.

  1. A 30-minute consultation. You tell us how invoices reach you, who codes them, into what, and where it goes wrong. We tell you what we would build and give you the price.
  2. Scope. We watch how your invoices are handled today and write down your coding and VAT rules with you, so we agree what the agent will do.
  3. Build. We build it inside the tools you already use, connected to your inbox and your accounting software where those tools allow it.
  4. Test. It runs over invoices you have already recorded, so you can compare what it did with what your bookkeeper did, then on your real incoming invoices, checked by us, until it gets them right.
  5. Live. It does the job on its own, and we keep it working.

How much of the work it does on its own depends mostly on your accounting software: where the software lets another program write to it, the agent records each invoice itself, and where it does not, the agent prepares a file ready to import. Fully functioning and delivering value in 30 days guaranteed, or you pay nothing more until your agents are.

What it costs

Ours is one flat monthly fee for unlimited agents: this agent, and any other you want after it, for the same fee, month to month. We give you the price on the call.

We set it on the consultation once we know how your invoices arrive and what the agent has to write into. What it will not do is charge you by the invoice: the usage is in the fee, so a busy month costs the same as a quiet one, and you can stop any month. Fully functioning and delivering value in 30 days guaranteed, or you pay nothing more until your agents are. What an AI agent costs sets out how that compares with the other ways of buying one.

An agent, a scanning tool, or more bookkeeping hours

There are three ways to deal with a pile of supplier invoices, and the right one depends on how many you have and how much they vary.

A scanning tool that lifts the fields off the page and waits for a person to approve each one is the cheapest to start with, and for a business with a handful of regular suppliers it may be all you need. The cost that catches people out is the approving: the tool does the typing, a person still does the thinking, and the thinking is the part that takes the time.

More bookkeeping hours, in-house or from your accountant, buys judgement you can trust and a person who notices the invoice that looks wrong. It is also the option whose cost rises in step with the number of invoices.

An agent sits between the two: it does the thinking inside rules you wrote, at a price that does not move with the volume, and it hands you the invoices it could not place. Testing it on your real invoices is how you check that, and if we think a scanning tool would serve you better we will say so on the consultation.

Your data, and the tools the agent can reach

We handle your data under UK GDPR, and we walk you through exactly where it goes on the consultation. The agent can only reach the inbox, folders and accounting software you approve, and you can withdraw that access at any time.

Everything it records is in your own accounting software, under your own account, in the same place your bookkeeper would have put it. Nothing about the way it works depends on your invoices staying with us.

Frequently asked questions

What can an AI agent actually do with an invoice?

Read it, work out which account and VAT treatment it belongs to under your rules, check it is not a duplicate, and record it in your accounting software. The invoices it cannot place with confidence go to a person instead, with the reason it stopped.

Does it work with my accounting software?

It depends on what your software lets another program do. Where it allows an agent to write to it, the agent records the invoice directly; where it does not, the agent prepares a file ready to import. We check yours on the consultation before you commit to anything.

How accurate is it?

We do not publish an accuracy figure, because it would be ours rather than yours and your invoices are what matter. Instead we run the agent over invoices you have already recorded, so you can compare it with what your bookkeeper did, and then over your real incoming invoices, checked by us, until it gets them right.

How much does AI invoice processing cost?

Ours is one flat monthly fee for unlimited agents, month to month, and the usage is in the fee, so you pay nothing per invoice. We give you the price on the call.

Is this the same as an AI bookkeeping agent?

It is the same agent under a different name. People searching for an AI bookkeeping agent or an AI accounting agent usually mean the work on this page: supplier invoices read, coded and recorded. If the job you have in mind is a different part of the bookkeeping, tell us on the consultation and we will say whether an agent can do it well.

How does it handle VAT?

By the rules you give it, written down before it does any real work, and it hands back anything those rules do not cover rather than choosing a treatment itself.

What happens when a supplier changes their invoice layout?

An agent reads the invoice rather than following a fixed template, so a new layout is usually not a problem. When it is, fixing it is part of keeping it working, which the monthly fee covers.

How long does it take to build?

Fully functioning and delivering value in 30 days guaranteed, or you pay nothing more until your agents are. Where your accounting software will not let another program write to it, working means the agent prepares a file ready to import.

Tell us how your invoices arrive today

Tell us where your supplier invoices land, who codes them and into what. We will tell you on the call whether an agent can take that work, what we would build, and what it would cost.
