Supplier invoices coded to your rules, the practice phone answered
AI agents for accounting firms
What an AI agent does for an accounting firm
An AI agent does one piece of a firm's work the way a member of staff would, inside rules the firm has written down for it. We build two for accounting practices: one reads supplier invoices, codes them and records them in the books, and one answers the practice phone.
We build each one for you rather than selling you a product to configure yourself. You tell us how the work reaches you today and how you want it done; we build the agent, you watch it work on your real work, and we keep it running from then on. If the job you have in mind is a different part of the practice, tell us on the consultation and we will say whether an agent can do it well.
Supplier invoices, coded to your own rules
The AI invoice processing agent reads a supplier invoice the way a person would. It takes the supplier, the invoice number, the date, the net, the VAT and the total off the page, decides which account and which VAT treatment the invoice belongs to under rules you have set, and records it in the accounting software where that software lets another program write to it, or as a file ready to import where it does not.
The rules are the ones your firm would give a new bookkeeper: which supplier goes to which account, how each kind of VAT is treated, what counts as a normal amount from that supplier, and which costs you want to see yourself whatever the amount. We write them down with you before the agent touches anything real.
Then we agree what it must never do on its own. A new supplier, an invoice that does not match the order, a VAT treatment the rules do not cover, an amount above the limit you set: each of those goes to a person with the invoice attached and the reason it stopped, rather than into the books as a guess.
What the agent has done, and whose books they were
Up to 29 October 2026, an AI bookkeeping agent we built recorded 14 supplier invoices for under 5p each in AI model costs, against about £2.54 each for a bookkeeper doing the same work by hand. The hand figure is 9 minutes at £16.92 an hour.
They were a single business's own supplier invoices, not an accounting firm's client work, and that is a small number of invoices. We would rather show you a small true number than a big round one. The rules it worked from were that business's accountants' own answers, written down as 7 rules, and every entry it recorded names its rule, so anyone checking the books can see why it went where it did. It never recorded anything twice, it attached the invoice PDF to every entry, and anything the rules did not cover went to a person. The TripleDouble case study shows it invoice by invoice.
A reverse-charge invoice, worked through
Software billed from abroad is where VAT gets awkward, and which way an invoice goes depends on what the PDF actually says. A supplier outside the UK that charges no VAT is usually reverse charge.
One £150 invoice from an AI model provider arrived in that business's books at 20% UK VAT, flagged for review, with no receipt attached. The PDF showed a UK VAT number, no VAT charged and a reverse-charge note, and the agent recorded it at the 0% reverse charge the PDF showed. Before the agent, the business's accountants answered each case like that one email at a time. The agent's job was to take those answers and apply them the same way, every time.
The accounting software it writes into
It depends on what that software lets another program do. Where it allows an agent to write to it, the agent records the invoice directly; where it does not, the agent prepares a file ready to import. We check yours on the consultation rather than promise it here.
Everything the agent records sits in your own accounting software, under your own account, in the same place your bookkeeper would have put it.
The practice phone, answered
The AI receptionist answers the practice phone, holds a normal spoken conversation with the client, and deals with the call the way your reception would. It knows what you have told it: your hours, your services, how you want urgent calls handled and what it should never promise.
We decide its limits with you before it goes live, and for an accounting practice the first is that it gives no tax advice. It takes the details and gets the client to a person. Your number stays where it is, and you choose which calls are passed to it: every call, only the ones you miss, or only out-of-hours calls. It answers up to 10 calls at the same time, so a deadline week does not leave clients on an engaged tone.
It tells every caller that it is an AI. After each call you get a summary of who rang, what they wanted and what it told them, by text, by email or both. It books into Google Calendar, Cal.com or Calendly; other diary software is a custom plan, where that software allows it.
Your clients' data
We handle your data under UK GDPR, and we walk you through exactly where it goes on the consultation. The invoice agent can only reach the inbox, folders and accounting software you approve, and you can withdraw that access at any time. Call recordings are kept for 90 days and then deleted; we can keep them for up to 18 months, or delete them sooner if you ask.
How we build it, and how long it takes
We build the agent around your real work, and you see it working on that work before it does the job on its own. Here is how it runs.
- A 30-minute consultation. You tell us how invoices and calls reach the practice, who deals with them, and where it goes wrong. We tell you what we would build and give you the price.
- Scope. We watch how the job is done today and agree what the agent will do: your coding and VAT rules, or what the receptionist knows and must never say.
- Build. We build it inside the tools you already use, connected to your inbox, your accounting software or your diary where those tools allow it.
- Test. It runs on your real work, checked by us, until it gets it right. The invoice agent goes over invoices you have already recorded, so you can compare it with what your bookkeeper did; you and your team ring the receptionist.
- Live. It does the job on its own, and we keep it working.
How much of the invoice work it does on its own depends on your accounting software: where the software lets another program write to it, the agent records each invoice itself, and where it does not, the agent prepares a file ready to import. Fully functioning and delivering value in 30 days guaranteed, or you pay nothing more until your agents are.
What it costs an accounting practice
Agent Place charges one flat monthly fee for unlimited agents: the invoice agent, the receptionist, and any other you want after them, for the same fee, month to month. We give you the price on the call.
We set it on the consultation once we know what the agent must do and what it has to write into. The usage is in the fee, so you pay nothing per invoice or per call, a busy month costs the same as a quiet one, and you can stop any month. Fully functioning and delivering value in 30 days guaranteed, or you pay nothing more until your agents are. The pricing on our homepage works the same way for every business we build for; there is no surcharge for accounting practices. What an AI agent costs sets out how that compares with the other ways of buying one.
Frequently asked questions
- How much does an AI agent for an accounting firm cost?
We charge one flat monthly fee for unlimited agents, month to month, so the invoice agent and the receptionist sit under the same fee. We give you the price on the call. The usage is in the fee, so you pay nothing per invoice or per call, and you can stop any month. Fully functioning and delivering value in 30 days guaranteed, or you pay nothing more until your agents are.
- Have you built this for an accounting firm?
Not yet, and we would rather say so. The invoice agent on record kept the books of a single business, which is the work in the TripleDouble case study: 14 supplier invoices up to 29 October 2026, each coded from its accountants' written rules.
- Does it work with Xero, QuickBooks or Sage?
It depends on what your software lets another program do. Where it allows an agent to write to it, the agent records the invoice directly; where it does not, the agent prepares a file ready to import. We check yours on the consultation before you commit to anything.
- How does it handle VAT?
By the rules you give it, written down before it does any real work, and it hands back anything those rules do not cover rather than choosing a treatment itself. On record, a £150 invoice the accounting system had put at 20% UK VAT went into the books at the 0% reverse charge the PDF showed.
- How accurate is it?
We do not publish an accuracy figure, because it would be ours rather than yours. Instead we run the agent over invoices you have already recorded, so you can compare it with what your bookkeeper did, and then over your real incoming invoices, checked by us, until it gets them right.
- Will the receptionist give clients tax advice?
No. That limit is written in before it answers a single call; what it does is take the details and get the client to a person.
- Can we keep our practice phone number?
Yes. Your number stays where it is, and you choose which calls are passed to the receptionist: every call, only the ones you miss, or only out-of-hours calls.
